You do not need to rebuild your website to answer inquiries faster. The practical path is: use the site you already have as the source of truth, connect form or email notifications to an agent inbox, and start with draft-first replies.
This walkthrough matches how Landai Now’s Inquiry Catcher templates are meant to be used (Grok Bot today; Muse templates follow the same content structure).
What you will need
- Your public website URL (accurate hours and services help a lot)
- Ability to forward form notifications or inquiry email
- 20–40 minutes for first setup
- A human who will review drafts for the first week

Step 1 — Decide the job of the agent
Pick one primary job for v1:
- Inquiry Catcher (dental / local service): answer FAQs + draft complex replies + collect appointment preferences
- Appointment Collector (lighter): only collect name, phone, preferred times, reason — then hand off
Do not start by connecting a full calendar. Preference collection is enough.
Step 2 — Install the template
After purchase on Creem, your email includes:
- A password-protected Setup Guide page URL and the password
- The Bot template share link
Open the share link, duplicate/install into your workspace, and rename the agent to your clinic or business name.
(Guides are gated on purpose — they are not open PDF/Notion downloads on the marketing site.)
Step 3 — Initialize the knowledge base from the website
Paste your website URL into the template’s init / knowledge flow. Review every generated field:
- Address, phone, hours
- Services you actually offer
- Insurance / service-area notes (only what you publish)
- New-patient or booking process
- FAQs that match reality
Fix mistakes before go-live. A wrong closing time is worse than a missing FAQ.
Add short operator notes if needed: parking, languages, emergency policy, “we do not offer X.”
Step 4 — Connect the inquiry pipe
Recommended OPC-friendly options:
- Set your website form’s notification email to the bot inbox (or AgentMail inbox linked to the agent)
- Forward or BCC your practice inquiry mailbox
- Use a form webhook if your provider supports it
Your public site stays unchanged. Patients keep using the same form.
Step 5 — Choose reply mode (start safe)
Default recommendation:
- Draft + notify a human for insurance, pricing, medical or job-scope questions, and anything uncertain
- Auto-send only for verified FAQs (hours, location, how to become a new patient)
- For appointments: collect fields, thank the patient, say staff will confirm — do not invent open slots
Write this policy in the agent instructions so behavior stays consistent.
Step 6 — Test before patients see it
Send at least five tests:
- Hours / location
- Insurance or “do you serve my area?”
- New patient / how to start
- Appointment request
- A question the KB does not know
Confirm that drafts reach the right person and that unknown questions do not hallucinate.
Step 7 — Go live with a clear response window
State a window your team can keep (for example, within 24 hours or during business hours). Auto-drafts cover nights; humans confirm sensitive replies.
Optional: a one-line site note that messages receive a response within that window.
Common failure modes (and fixes)
- Stale website content → fix the site or override in the KB; do not let the agent invent updates.
- Too much auto-send too early → revert sensitive topics to draft mode.
- No owner for draft review → assign a named person and a twice-daily check.
- Calendar overreach → stay on preference collection until you intentionally add scheduling.
